Hot water failed suddenly: planning an urgent heat pump replacement
When hot water fails, check the emergency rebate pathway, equipment suitability and installation plan without assuming an urgent replacement guarantees support.

If your hot-water system breaks down or is unsafe, Solar Victoria has an emergency replacement pathway. It can allow installation before eligibility confirmation, but it does not guarantee that a rebate will be paid.
Arrange a qualified assessment promptly, tell the retailer you intend to seek support and check the current emergency rules before agreeing to the replacement. Urgency makes clear paperwork more useful, not less.
Describe what has happened: no hot water, a visible leak, an error message or a safety concern. Share the model, approximate age and accessible photos without opening the equipment or disturbing hot pipework.
Keep people away from an unsafe installation and follow the relevant professional or emergency advice. A rebate application is not a reason to keep using equipment that has been assessed as unsafe.
Ask whether repair is practical, whether replacement is needed and what temporary arrangements are possible. You do not have to diagnose the fault before making the call.

Solar Victoria says an emergency replacement must use an authorised retailer and an eligible product. Applicants must establish eligibility as soon as possible afterwards and select the emergency-installation option when applying.

Ask the retailer to identify the selected system and confirm what documents you need. Keep evidence of the failed heater and the reason the normal pre-approval sequence could not be followed.
Make sure the written price explains what you owe if an expected rebate is declined. An assurance that the paperwork will 'definitely be fine' is not a substitute for that conversation.

Ask about federal certificates and VEU before work starts or the old unit is removed. The VEU provider should coordinate its own eligibility, evidence and paperwork requirements; an emergency Solar Homes pathway does not replace them.
Victorian Energy Upgrades hot-water discounts.
Our rebates guide can help organise the questions, but each applicable scheme has its own requirements. Ask which discounts are confirmed and which remain conditional.
Keep the final invoice, equipment identifiers and commissioning documents together. They are useful for the application and for later servicing.
Explain the number of occupants, busiest shower period and any recent problems with hot-water capacity. Ask where the proposed heat pump can operate with suitable airflow, access and noise consideration.
An available unit is not automatically the right unit. Confirm the electrical and plumbing work needed, who will do it and the installation date before choosing between available heat pump systems.

For example, a family with consecutive evening showers needs that demand considered even if the old heater failed that morning. Replacing it with the smallest available tank may create another problem after the emergency has passed.
If suitable equipment cannot be installed promptly, ask about temporary hot water.
The Australian Government notes that some installers can provide a temporary electric heater while a replacement is chosen; availability and cost need confirmation.

Ask the installer to demonstrate normal operation, any temporary boost function, fault reporting and the agreed heating schedule. Save the contact for urgent follow-up if commissioning reveals an issue.

Do not rush straight into an aggressively restricted daytime schedule.
Once the household has reliable hot water, review solar timing against actual demand and the product's approved controls.
If repair is sensible and safe, replacement need not be the automatic answer. If replacement is necessary, the aim is a suitable installation and an understood payment obligation, even under time pressure.
